The Assistant Director of CASA (Assistant Director for Data, Projects, and Communication) is broadly responsible for CASA’s operations connected to data-driven strategic, office communication standards, and project management benefiting Mines’ commitment to time to graduation, retention, and student thriving and performance. This individual will work with the Director of CASA and serve as a department and division expert with matters related to advising software, retention and persistence data, and impactful communication and project oversight.  The Assistant Director is responsible for communicating the impact of the Center for Academic Services and Support (CASA) using assessments and data available through Institutional Research and Mines reports. Impact efforts include CASA's interactions with the Mines community, advising appointments and events, and working toward identifying course sequencing and summer offerings to support efficient time to graduation. The Assistant Director will proactively drive retention efforts with the Director and through the varied academic support or advising services. The Assistant Director is also responsible for oversight of all CASA outreach efforts, impact information, projects, and assessments for the sustainability of CASA operations. As part of the CASA extended leadership team, the Assistant Director will support office operations by participating in budget allocation discussions, providing indirect supervision of CASA professional and student staff, and serving as a contact to campus partners. As part of this work, the Assistant Director will serve as the main administrator for the CASA software systems, including the continued integration and use of Slate.

The Assistant Director will support CASA through a collaborative structural redesign to create an office/center more heavily focused on academic support, retention, degree progression, and advanced student advising. The Assistant Director’s responsibilities, skills, experience, and priorities will remain, though the office deliverables will shift in priority as CASA evolves.  Most immediately, the Assistant Director will champion the continued integration of the Slate Success Module, an institutional software system administered by CASA.

The Assistant Director will be expected to help lead this change with poise, high-quality deliverables, and uncompromised collegial rapport alongside the CASA leadership team. 

The Assistant Director role is a full-time, 12-month, exempt, administrative faculty position working within national standards for academic advising set out by NACADA, is expected to abide by FERPA and privacy regulations with all confidential student material. The work takes place primarily on campus in Golden, Colorado. This position may, though rare, work evening or weekend events/programs with advance notice.  

Primary Responsibilities:

Outreach Coordination & Office Communication Oversight:

  • Use available technologies to oversee and maintain CASA communication calendar, including leading and coordinating outreach efforts to support student’s retention and matriculation at Mines (e.g., D/F/W outreach emails, probation and suspension support emails, mid-term grade communication, non-registered student outreach, GPA recovery policy impact to GPA and SAP), as well as more general communications to incoming and continuing students around key academic calendar dates.
  • Oversee the accuracy and maintenance of CASA Canvas Site content and support program assistant and CASA leadership in review and upkeep of website content.
  • Create and implement new outreach efforts relevant to the changing students including but not limited to precipitous decline, non-registered student, and leave of absence communication.
  • Develop innovative ways to outreach to students regarding degree completion, support initiatives, and information on ways to reduce common degree errors such as importance of degree sequence.
  • Provide guidance and general information on all degree programs at Mines through serving as a backup advisor to academic advising coordinators, particularly during peak advising periods and occasionally when temporarily back-fill is needed.
  • Work with CASA leadership team and Registrar’s Office to outreach and promote to student’s relevant summer course work to advance degree completion and time to graduation.
  • Identify and pursue promising communication efficiencies and practices that can be modeled throughout CASA and to the benefit of their advising and academic support efforts, including the use of technology affordances through Slate and other technologies.
  • With the guidance of the Director, partner with the Administrative Coordinator, and the Assistant Vice President of Student Life to outreach and support students identified with maximum withdrawals, academic probation status, and academic suspension status to ensure timely notification of academic standing in fall, spring, and summer semesters and report out data to campus stakeholders.

Data Coordination & Strategy

  • Collect data and assist in reviewing academic support efforts for effectiveness and student impact towards producing reports on impact to student’s retention and/or matriculation.
  • Develop, implement, maintain, and report results of assessments on the impact of CASA programs, including assisting Academic Advising Coordinators in assessments of coordination areas
  • Use documented interactions CASA has with the Mines student, faculty, staff, and community via Talkto, Acuity appointments, walk-in advising, events, etc. through developing a record keeping and reporting tool and/or data visualization.
  • Collaborate with relevant parties – with IRSA at the forefront – to identify opportunities to improve retention and persistence markers institutionally. Following, recommend efficacious interventions, programs, services, or approaches through CASA and/or through academic partners to pursue statistically significant improvements in these areas.
  • Guided by the Director, responsible for drafting the CASA annual report along with providing the data needed to support the report, CASA budget, and student programs.
  • Use software such as Power BI/Tableau, Qualtrics/Question Pro. to produce data visualizations and impact reports, collaborating with IRSA, the Registrar, and other campus partners on the development of new reports as needed.
  • Prepare and reports out via CASA website, presentations, and Student Life meetings the impact and effectiveness of CASA advising, events, programs, and supplemental instruction.
  • Serve as point of contact for tracking and documenting information related to advising, course capacity, and registration on behalf of CASA.

Project Management & Software Lead

  • In collaboration with campus partners, lead CASA’s contributions to the implementation of the Slate Student Success CRM. Engage CASA staff to successfully establish and customize Slate (e.g., appointment setting, advising notes, data-driven insights, communications, forms, automations, and student-facing hub) to contribute to retention and student success goals.
  • Partner with CASA leadership, the Registrar, and Academic Advising Coordinators and faculty to update and correct current Mines catalogs, Degree Works, Smart Plan, and other records and advising technologies as needed.
  • Learn and support the implementation of other software and technologies to the benefit of students and CASA as needed.
  • Assistant Director will champion the continued integration of the Slate Success Module, an institutional software system administered by CASA. Once integrated and customized, the Assistant Director will serve as a super administrator for the module.
  • Assist the CASA Director and other leadership team members as needed with planning of meetings, developing department policies and procedures, planning and execution of peak advising periods and events, and providing CASA representation on various university committees and working groups.
  • Contribute to plans and future programs developed in support of the forthcoming CASA redesign 
  • Collect data and gather information in support of forthcoming program reviews and annual office evaluations.
  • Coordination and lead of incoming student advising resources, including Experiential Major Maps (EMMs).
  • Serve as a liaison between CASA and the Registrar’s Office and other campus partners as needed to clarify information and address questions.
  • Participate in CASA-led as well as major University-wide events (e.g., Helluva Welcome, Career Days, E-Days, Make it Mines, Maor Fair, Welcome Webinars, etc.), including occasional night and weekend commitments.
  • Assistant Directors may serve as a backup or proxy for the Director when requested by the Director.
  • Develop new CASA initiatives as directed by CASA leadership and perform other duties as assigned

Minimum Qualifications

  • Bachelor’s and master’s degree from an accredited institution of higher education.
  • Three or more years of post-master's professional experience working with college students in an advising, teaching, mentoring, or coaching role in a college or university setting.
  • Demonstrated professional oral and writing communication skills in addition to strong organizational and project management skills.
  • Strong interpersonal and communications skills; ability to analyze and solve problems; project management skills.
  • Experience leading sessions and presenting workshops/data to various stakeholders including faculty, staff, and students in person and remotely.
  • Proficiency with Microsoft Office Suite and a general comfort with learning and adopting new technologies

Preferred Qualifications

  • Master’s degree in relevant discipline including Student Affairs, Counseling, College Student Personnel, Education Leadership, Data Analytics, etc.
  • Five or more years of employment as a full-time academic advisor and/or academic support or student support specialist in an academic advising office
  • Experience working with or in STEM programs at the undergraduate level.
  • Three or more years of professional experience related to project and program management.
  • Proficiency with computer software including but not limited to Excel, Degree Works, Power BI/Tableau, Qualtrics/QuestionPro, and Slate.
  • Experience with survey design and assessment development and report writing to communicate program outcomes.
  • A demonstrable commitment to promoting and enhancing diversity, inclusion, and access
  • Awareness of Colorado School of Mines policies, procedures, and student population

Salary and Benefits

$66,000 - $73,000
