Job Description

The Assistant Director for FGLI Resources and Data Analytics (AD) for the Office of Student Enrichment (OSE) administers and oversees the department’s allotment of resources in consultation with the Director of OSE. Through budget management, report generation, and forecasting, the AD ensures compliance and financial standards for the office, safeguarding and managing support available to students.

The successful AD will act as the primary liaison between the OSE and its constituents both on-campus and off-campus, fostering working relationships where FGLI resources, assessment, and reporting are central. Most importantly, as the primary team member working with undergraduate students from LSES, first generation, DreamND, and/or non-traditional backgrounds, the AD will work one-on-one with students in identifying areas of need and connecting them with campus and community resources for comprehensive support.

This full time, 12-month position, includes regular evening and weekend responsibilities during the academic year, with limited commitments during the summer.

Essential Duties and Responsibilities

Administration and Oversight of Resources: 

  • Manage and oversee the Student Enrichment funding process, including application intake and review, purchasing requests, and overall budget management.
  • Analyze and organize OSE's reconciliations via GLez, Banner, and the Student Enrichment Fund sub-ledger to detect, identify, and investigate discrepancies in financial accounts, ensuring the accurate reporting of the department's over $1.5 million-dollar operating budget. 
  • Review and analyze financial expenditures and applications to forecast future OSE financial needs and funding considerations.
  • Responsible for the continual review, development, adherence, and administration of all stated policies and procedures related to students, including but not limited to the approval of eligibility by the Office of Financial Aid.
  • Lead OSE in data collection, assessment, and forecasting initiatives to spearhead strategic planning efforts throughout the office. This includes creating assessment tools to capture a broad scope of data and analytics to inform best practices and future resource allocation planning.
  • Generate endowment reports for the endowed or gift funds designated to the OSE, in excess of $1 million dollars.

Student Support and Enrichment:

  • Work pastorally and directly with students in one-on-one formation throughout the steps of the funding process, to determine individual needs and assist with student’s need fulfillment accordingly.
  • Conduct individual student appointments – both scheduled and on a walk-in basis – related to assisting students from LSES, first generation, DreamND, and/or non-traditional backgrounds with enrichment opportunities and resource problem-solving to fulfill their needs.
  • Participate in large departmental events, maintain up-to-date appointment notes, and provide leadership in all aspects of funding related activities.

Partnership and Networking:

  • Actively work on creating and maintaining working relationships with campus and community partners with the goal of connecting students with important campus resources.
  • Connect with campus and South Bend community partners (e.g. the Transformational Leaders Program, academic liaisons, and topical experts) to successfully collaborate on programs, workshops, and other events and projects. 
  • Develop a strong understanding of the work of the various Division of Student Affairs departments, academic departments, and the Office of Financial Aid to best connect students with important campus resources.

Belonging and Engagement:

  • Participate as an integral member of the Belonging and Engagement team, working closely and collaborating with the Multicultural Student Programs and Services, the Gender Relations Center, and the Sister Thea Bowman Center, in support of overall student formation and growth.
  • Regularly collaborate with other areas within the Division of Student Affairs (Student Development, Campus Ministry, Residential Life, Student Health and Wellness, Career Development), student clubs and organizations, and other University units to enhance the OSE’s work.  

Qualifications

  • Candidates must possess a Master’s degree in College Student Personnel, Higher Education Administration, Counseling, Master of Business Administration (MBA), or a related field.
  • 2-3 years of experience working with university students from culturally diverse backgrounds.
  • Demonstrated program development/implementation and outcomes development/assessment.
  • Ability to maintain high levels of confidentiality and sensitivity towards issues related to the Office of Student Enrichment’s vision and mission.
  • Ability to work collaboratively in higher education with faculty, staff, and students at all levels.
  • Effective interpersonal skills, including a willingness to create a challenging but welcoming environment for all people.
  • Experience fomenting and maintaining business to business relationships with partners outside of the University.
  • Preference will be given to candidates who have specialized training and experience in budgeting, reporting, resource allocation, knowledge of GLez, and OnBase content management software.
  • The successful candidate will also possess a commitment to formulating opportunities consistent with the mission of a Catholic university founded by the Congregation of Holy Cross.

Salary: Up to $55,500
