BILINGUAL SCHOOL OFFICE ASSISTANT
The Pinnacles Prep Office Assistant supports the non-instructional functions of our school, allowing the instructional staff to drive student achievement. The school operations assistant’s responsibilities include successfully executing systems, processes and policies in all non-instructional areas leading all efforts toward operational excellence.
RESPONSIBILITIES:
Front Office:
● Support with multiple workstreams that make up school operations
● Receives heavy volume of telephone calls and personal contacts from parents, scholars,
teachers, various school departments, other schools, and the public requesting information,
appointments and actions, leaving messages or instructions, or registering complaints.
Transmits messages and information quickly and accurately.
● Supports administrative duties when needed.
● Collects fees and/or funds from scholars and families for the purpose of ensuring the accuracy
and timely completion of transactions.
● Maintains the front office in order to create a welcoming environment that is clean, organized,
and safe.
● Translates documents as requested by school administration.
● As needed, provides Spanish interpretation services for families and community members for
school business, during school hours. Ex: 1:1 meetings, IEP/504 meetings; Disciplinary
meetings, conferences.
School Operations:
● Greets and directs substitute teachers regarding teaching assignments, school programs, and
procedures.
● Evaluates sensitive situations to assess when to involve the COO or Principal.
● Prints, organizes, and distributes flyers, announcements, report cards, and other school
publications.
● Support administration with parent communication pertaining to attendance, restorative
practices and discipline, as needed.
● Supports lunch time, recess and the health office as needed.
● Perform other related duties and special projects as assigned.
● Assists the operations manager and COO in fulfilling operations requests from staff.
Student Enrollment
● Effectively communicate the mission, vision, values, and academic program when communicating with prospective families via phone or in-person.
● Support enrollment process by providing enrollment packets to prospective families, photocopying supporting enrollment documents, and updating the COO when enrollment is complete.
● Be available to give campus tours as a substitute for tour leaders when needed.
● Supporting occasional campus recruitment events outside of school hours.
REQUIRED QUALIFICATIONS:
● Bilingual in English and Spanish
● Committed toward equity and dismantling inequitable practices in every part of school
operations
● Desire to learn and develop new skills and to work as part of a team
● Pass required background checks:
o Criminal background check
o ESD fingerprint record check
● Discretion and ability to handle sensitive and confidential information.
● Flexibility and adaptability to changing priorities and tasks
● Detail-oriented, highly organized, and self-reflective
● Ability to manage multiple projects simultaneously, adjust priorities and work autonomously
● Strong interpersonal skills
● Proficient in Google-Suite/ Microsoft Office & aptitude in learning new computer programs
● Excellent written and oral communication skills
● Proven ability to meet ambitious goals independently, with a track record of persistence in
challenging circumstances.
- Pass the OSPI Interpreter Training after hire.
PREFERRED QUALIFICATIONS
● Prior experience working with underserved communities, families and/or students
● Comfortable in an ambiguous, fast-moving, start-up environment with a drive towards clarity,
solutions, and sustainability
● Experience working with and supervising students
● Successful non-profit or for-profit experience in a similar environment
- Currently holds or will obtain ServSafe Food Handler certification within 90 days of
employment
COMPENSATION
● $22/hr. - $26/hr. depending on experience & qualifications.

SUPERVISOR & TEAM:
The office assistant reports directly to the office manager who is responsible for their evaluations. This position is a part of the Operations Team at Pinnacles Prep.
ACCOUNTABILITY:
The office assistant is a nonexempt position. The office assistant should display a commitment to the School’s mission and core values and pass a complete criminal background check, driving record check, and ESD Fingerprint record check.
SCHEDULE:
The office assistant is a full-time year-round position. During the school year the schedule is from 8:00AM - 4:30PM with a 30 minute lunch break during the day.
