Billing Specialist/Administrative Assistant

What will you be doing at Woodard & Curran?
Woodard & Curran is seeking a Billing Specialist to work virtually in California. In this role, you will coordinate water utility billing activities, prepare customer bills, maintain accurate billing records, and document billing information within company software systems.
This is a remote position where you will be working virtually from your home office. We prefer someone based on the West Coast to align with project hours. Woodard & Curran will provide a technology package, as well as a one-time reimbursement to help offset the expenses associated with setting up your home office. In addition, you will be eligible for a monthly reimbursement to cover the costs of working virtually from your home.
The Billing Specialist performs a variety of office support and administrative functions, some of which require discretion and the ability to handle confidential information with professionalism and integrity. This position requires a dependable, detail-oriented, and organized individual who can effectively manage multiple priorities while working collaboratively as part of a team under the direct supervision of the Project Manager. In addition, you will be providing periodic administrative support to the Area Manager assigned to your region’s projects.
Essential Duties and Responsibilities
Duties include, but are not limited to:
- Create new customer accounts within the billing software system as requested or required.
- Assist in coordinating meter reader schedules and routes, including loading handheld devices, downloading meter data into the billing system, and entering compound meter reads into the bookkeeping system.
- Assist with billing system data transfers and data verification.
- Create service orders for field staff related to high/low meter reads identified from meter reader reports.
- Compile delinquent account lists, send billing reminders, and generate monthly shut-off lists.
- Assist in the preparation and processing of monthly utility billing.
- Perform a variety of clerical support and administrative duties as assigned.
- Maintain organized and accurate billing, customer, and administrative records.
- Order and maintain office supplies and related inventory.
- Accurately prepare letters, reports, forms, schedules, spreadsheets, financial information, and statistical data from drafts, notes, or verbal instructions.
- Answer incoming customer calls and provide professional and courteous customer service while responding to inquiries and requests.
- Communicate effectively with customers, field staff, management, and other departments.
- Assist with special projects and perform other related administrative duties supporting regional operations.
- Maintain confidentiality of customer, financial, and company information.
- Report to work consistently and on time while maintaining a professional and team-oriented attitude.
What Will You Need to Succeed?
- High school diploma or equivalent required.
- Minimum of three (3) years of experience in general office administration, utility billing, accounts payable, accounts receivable, bookkeeping, or related administrative support functions.
- Ability to perform work autonomously with limited direct oversight.
- Ability to perform accurate mathematical calculations and operate a 10-key calculator.
- Strong attention to detail with a high level of accuracy in data entry and recordkeeping.
- Proficiency in Microsoft Office programs, including Word, Excel, and Outlook.
- Experience working with billing, accounting, or bookkeeping software systems preferred.
- Strong organizational, time-management, and multitasking abilities.
- Excellent verbal and written communication skills.
- Demonstrated customer service and telephone communication skills.
- Ability to follow verbal and written instructions with minimal supervision.
- Ability to work independently while also contributing positively within a team environment.
- Demonstrate professionalism, accountability, reliability, and integrity in daily work activities.
