Character Formation Systems & Data Coordinator
Summary of Responsibilities:
The Character Formation Systems & Data Coordinator partners with the Systems & Data Specialist to develop, administer, optimize, and continuously improve the systems, technology, reporting, and data infrastructure that support Character Formation. This role serves as a systems-minded problem solver who leverages technology, data, and innovation to improve operational effectiveness, strengthen reporting, and create scalable solutions that support student engagement and departmental growth.
Primary Areas of Responsibility:
Systems Administration
- Administer Character Formation technology platforms including Engage, Housing Cloud, Blackboard, and future departmental systems.
- Maintain pathways, forms, workflows, permissions, and system configurations.
- Troubleshoot system issues and provide user support.
- Develop system documentation and user resources.
- Assist with implementation and training of new technology solutions.
Technology Adoption & User Enablement:
- Promote consistent utilization of Character Formation technology platforms across the department.
- Develop user resources, training materials, and system documentation.
- Train teammates on new systems, enhancements, and best practices.
- Provide ongoing user support and troubleshoot technology-related questions
- Encourage adoption of standardized processes and effective system utilization.
Data Management & Reporting:
- Maintain the integrity and accuracy of departmental data.
- Develop and improve recurring reports and dashboards.
- Coordinate departmental and institutional scorecard reporting.
- Monitor participation trends, KPIs, and student engagement metrics.
- Validate data across systems.
- Prepare reports that support leadership decision-making.
Systems Innovation & Continuous Improvement:
- Evaluate existing systems and identify opportunities for improvement.
- Recommend solutions that improve efficiency, automation, and scalability.
- Research emerging technologies and best practices.
- Partner with the Systems & Data Specialist to implement system enhancements.
- Document workflows and establish best practices.
Strategic Systems Support:
- Assume ownership of recurring systems administration, reporting, and technology responsibilities, creating capacity for the Systems & Data Specialist to focus on enterprise initiatives, strategic planning, and institutional priorities.
- Support implementation of Housing Cloud and future systems.
- Contribute to long-range planning for scalable systems that support institutional growth.
- Analyze trends and provide meaningful insights that improve departmental effectiveness.
Other Duties:
- Participate in ministry at Church of the Highlands and Highlands College by leading small groups.
- Affirm and uphold the Statement of Faith and the Core Values and DNA of the College, exemplifying all by word and lifestyle.
- Support other areas and events of the Character Formation department as needed.
- Serve on cross-functional teams or task forces as assigned.
Leadership Expectations:

Experience:
- 2+ years in systems administration, business operations, technology, analytics, higher education, or related field.
- Experience administering databases, CRMs, student information systems, or enterprise software preferred.
- Experience developing reports, dashboards, or data visualizations preferred.
- Experience supporting technology implementations or process improvements.
- Demonstrated ability to improve workflows through systems and technology.
