Role Purpose
The Order to Cash (OTC) Trade Promotion Claims & Settlement Analyst is responsible for supporting the end-to-end Trade Promotion Claims Management process for the Hong Kong and/or Taiwan market, ensuring timely validation, processing, settlement, reconciliation, and resolution of customer trade promotion claims.
This role plays a key part in driving process consistency, operational excellence, and business continuity while supporting transformation initiatives, including User Acceptance Testing (UAT), process standardization, and deployment of enterprise system upgrades such as ES4 (SAP S/4HANA).
The successful candidate will work closely with Commercial, Sales, Trade Marketing, Customer Finance, and GBS stakeholders to ensure accurate claims processing, compliance with company policies, and effective management of customer deductions and settlements.

Key Responsibilities
1. Trade Promotion Claims Processing & Settlement
  • Manage end-to-end Trade Promotion Claims (and Chargeback) activities, including:

  • Receive, review, and validate customer trade promotion claims against approved promotion plans, contracts, and agreements.

  • Verify supporting documentation, Proof of Performance (POP), customer submissions, and claim eligibility.

  • Investigate claim discrepancies and exceptions with Commercial, Sales, Trade Marketing, Finance, and customers.

  • Process approved claims, customer credits, settlements, and related accounting transactions in accordance with company policies.

  • Support customer deduction validation and resolution activities relating to trade promotions.

  • Ensure timely settlement of approved claims while maintaining service level commitments.

  • Perform post-settlement validation and reconciliation activities to ensure financial accuracy and account integrity.

  • Maintain accurate documentation and audit trails for all claims activities.

2. Trade Promotion Reconciliation & Dispute Resolution

  • Reconcile trade promotion claims, customer deductions, accruals, settlements, and credit notes.

  • Monitor aged claims and outstanding deductions to drive timely closure and minimize financial exposure.

  • Investigate variances, unmatched items, and settlement discrepancies.

Coordinate resolution activities with Commercial, Customer Finance, Accounts Receivable, and Sales teams.

  • Provide regular updates and reporting on claims aging, disputes, deductions, and settlement status.

  • Support month-end and year-end close activities relating to promotional claims and settlements.

3. Transformation & UAT Support (ES4 / SAP S/4HANA)

  • Participate in User Acceptance Testing (UAT) activities for Trade Promotion, Deduction Management, and Settlement processes.

  • Execute test scenarios and validate end-to-end business process flows.

  • Identify, document, and support resolution of system defects and process gaps.

  • Support deployment, stabilization, hypercare, and continuous improvement initiatives following system implementation.

  • Contribute to process harmonization, automation, and adoption of new S/4HANA capabilities.

4. Customer & Stakeholder Management

  • Serve as a key contact for Trade Promotion Claims-related inquiries and escalations.

  • Build effective working relationships with: Sales & Commercial Teams Trade Marketing Customer Finance Accounts Receivable Regional and Market Finance Teams External Customers and Distributors

  • Communicate effectively with Mandarin-speaking and Cantonese-speaking stakeholders.

  • Support issue resolution and drive closure of outstanding claims and deductions.

5. Compliance, Controls & Continuous Improvement

  • Ensure compliance with internal controls, company policies, and SOX requirements.

  • Maintain complete audit documentation supporting claims validation, approval, and settlement activities.

  • Identify opportunities for process improvement, automation, and simplification.

  • Support KPI reporting and continuous improvement initiatives to enhance productivity, accuracy, and customer experience.

Qualifications/Education/Experience Required:

  • Bachelor's Degree in Finance, Accounting, Business Administration, Commerce, or related discipline.

  • Minimum 3–5 years of experience in: Trade Promotion Claims / Customer Deductions /Accounts Receivable /Claims Processing /Sales Support Finance / OTC Operations

  • Experience in Shared Services, GBS, or multinational environments preferred.

  • Experience supporting Hong Kong, Greater China, or regional APAC markets preferred.

  • Hands-on experience with SAP ECC and/or SAP S/4HANA is required.

  • Experience working with Trade Promotion Management (TPM), Settlement, Deduction, or Claims Management processes is highly desirable.

Mandatory
  • Fluent in English.
  • Fluent in Mandarin Chinese and/or Cantonese (spoken and written).

The role requires regular interaction with Hong Kong customers, distributors, Sales teams, and business stakeholders.
