Job Description
To provide proactive planning, resource management, productivity monitoring, and operational support across IC&A more focused on Controls Assurance (CA), ATBD, and associated Africa business units. The role is responsible for ensuring accurate resource planning within Dayshape, maximizing utilization and revenue recovery, supporting management decision-making through reporting and analytics, and maintaining effective communication between planning, finance, leadership, and professional staff.

Key Performance Area 1: Resource Planning & Dayshape Management
Responsibilities
- Manage and maintain the daily integrity and accuracy of resource planning within Dayshape across designated capability areas.
- Act as the primary planning coordinator for Controls Assurance while providing backup support across all planning areas.
- Process and implement planning updates received via email daily and communicate changes to impacted staff.
- Ensure Dayshape accurately reflects resource allocations and current engagement commitments.
- Monitor and resolve planning conflicts in collaboration with managers, balancing skills, deadlines, client requirements, and resource availability.
- Conduct ongoing variance analysis between planned hours and actual timesheet charges using variance reporting tools.
- Monitor staff availability and proactively identify opportunities to improve utilization and close revenue gaps.
- Maintain a pipeline of unstaffed demand requests and align available resources to business requirements.
- Monitor tentative planning allocations on BRD codes and facilitate timely conversion to chargeable SAP engagement codes.
- Partner with Finance to:
- Link BRD codes to chargeable codes.
- Investigate and resolve code-related discrepancies.
- Manage SAP code closures and associated planning impacts.
- Clear Dayshape and SAP integration exceptions.
- Attend Krew meetings and implement planning updates arising from discussions.
- Manage staff movement activities, including onboarding, transfers, resignations, and replacement planning.
- Deliver Dayshape training and planning process orientation sessions for new hires and newly promoted managers.
- Maintain responsibility for IC&A planning communications and distribution lists.
- Collaborate with Learning Champions to assess training schedules and their impact on utilization, revenue, and project delivery.
Key Measures of Success
- Planning updates processed accurately and timeously daily.
- Dayshape remains an accurate reflection of resource allocation.
- Engagement conflicts minimized and resolved proactively.
- Planning-to-actual variances maintained within an agreed tolerance of 10%.
- Revenue leakage minimized through effective monitoring and follow-up.
- Staff informed promptly of all planning changes.
Key Performance Area 2: Productivity & Utilization Management
Responsibilities
- Support the achievement of budgeted revenue and utilization targets across capability areas.
- Monitor forecasted versus actual performance through Dayshape and Power BI reporting.
- Identify and communicate utilization risks, revenue leakage, and planning discrepancies to leadership teams.
- Investigate exceptions and escalate system or code-related issues to Finance/ATS where required.
- Provide data-driven insights to Krew leaders to drive performance improvement discussions.
Key Performance Area 3: Operational & Administrative Support
Responsibilities
- Maintain and update all IC&A SA, and Africa distribution lists.
- Ensure accurate inclusion of new hires, promotions, transfers, and terminations.
- Support onboarding activities and induction programmes.
- Present planning office processes and resource planning principles to new staff.
- Promote understanding of planning processes and resource management practices across the business.

- Distribution lists maintained accurately and reviewed quarterly.
- New employees receive appropriate planning process education.
- Effective stakeholder understanding of planning office services and processes.
Key Performance Area 4: Reporting, Analytics & Information Management
Responsibilities
- Provide backup support for the generation and distribution of daily and weekly operational reports.
- Support SAP Resource Management testing and reporting activities.
- Produce and distribute planning, availability, OPSCO, and management reporting.
- Highlight tentative allocations and planning risks requiring management attention.
- Ensure all planning updates arising from meetings are implemented and communicated.
- Support ad hoc reporting and analytical requests from management.
- Monitor business risks impacting utilization, revenue, and workforce planning.

- Daily and weekly reports distributed accurately and on time.
- Planning risks escalated proactively.
