Responsibilities

  • Maintains accurate employee data within the HRIS by entering new hire information and employee changes with a high degree of accuracy, confidentiality, and attention to detail.
  • Completes new hire data entry by transferring approximately 20 required data fields per employee into ADP, supporting an anticipated volume of approximately 10–14 new hires per week.
  • Processes employee data changes received through Employee Action Forms (EAFs), reviewing requests for completeness and accuracy before entering approved changes into ADP.
  • Protects payroll and employee data integrity by identifying missing, inconsistent, unusual, or potentially inaccurate information and escalating discrepancies to the appropriate HR partner before changes are processed.
  • Tracks employee transactions and new hire activity using Excel, iCIMS, ADP, and other designated systems to ensure requests are completed accurately and within established deadlines.
  • Monitors new hire activity in iCIMS by downloading reports, tracking candidates progressing through onboarding, and identifying records requiring additional information or follow-up.
  • Coordinates completion of new hire records by communicating with Human Resources, Talent Acquisition, IT, hiring managers, and other stakeholders when information is missing or clarification is required.
  • Supports time-sensitive payroll deadlines by prioritizing employee changes and new hire transactions according to established payroll schedules, including biweekly payroll cycles and weekly payroll cycles for designated employee populations.
  • Manages fluctuating transaction volumes effectively, particularly during periods immediately preceding payroll deadlines when employee change requests may increase significantly.
  • Maintains accurate transaction records by tracking completed and outstanding requests in Excel and providing timely confirmation or follow-up to requestors.
  • Supports data auditing and quality assurance activities by reviewing reports and employee records for outliers, variances, missing information, and other potential data integrity issues.
  • Reconciles invoices by reviewing charges against supporting records, identifying discrepancies, and coordinating resolution to ensure accurate and timely payment.
  • Provides additional administrative and data support to Talent Acquisition, Payroll, and related HR functions as needed and may be cross-trained on additional assignments during the temporary engagement.

Qualifications

  • Strong data-entry skills, including experience working with alphanumeric, compensation, payroll, or other detailed employee data.
  • Exceptional attention to detail and demonstrated ability to maintain accuracy while completing repetitive, high-volume transactions.
  • Strong Microsoft Excel skills; ability to organize, track, review, and audit data is required.
  • Ability to identify data inconsistencies, outliers, missing information, and potential errors rather than simply processing information as received.
  • Strong organizational and time-management skills with the ability to prioritize work around firm deadlines.
  • Ability to manage fluctuating workloads and remain accurate during high-volume periods.
  • Strong written communication skills and comfort following up with HR partners, hiring managers, and other stakeholders to resolve incomplete or questionable requests.
  • Sound judgment and willingness to question or escalate information that appears inaccurate or inconsistent.
  • Ability to appropriately handle confidential employee, compensation, and payroll-related information.
  • Previous experience performing employee data entry or employee changes within an HRIS, payroll, recruiting, or similar business system is strongly preferred.
  • Experience with ADP is a strong plus but is not required.
  • Previous experience with another HRIS involving new hire entry and employee changes may substitute for ADP experience.
  • Experience with iCIMS or another applicant tracking system (ATS) is helpful but not required.
  • Previous experience as an HR Coordinator, Payroll Coordinator, Recruiting Coordinator, HRIS Coordinator, or similar administrative role is preferred.
  • Previous Human Resources experience is beneficial, particularly experience reviewing employee transactions for completeness and compliance.
  • Ability to work approximately 40 hours per week for the anticipated 12-week assignment.
