Job Responsibilities

JOB RESPONSIBILITIES

  • With limited assistance, receives and analyzes Requests for Information (RFIs) from Business Development (BD) ensuring appropriate Subject Matter Experts (SMEs) are assigned to and notified of the RFI. Sets timeline and deadlines for RFI completion and ensures open communication.

  • Researches, prepares, and solicits input from SMEs across the Company and mines other sources to develop RFI submissions and maintain a single common view of corporate information with assistance from RFI management staff.

  • Manages the RFI process from receipt to delivery, working with management to identify potential barriers or risks for completion, formulating recommendations for resolve, and/or escalating issues as appropriate. Works with a mentor or manager to identify and develop mitigation skills and strategies in appropriate situations.  Completes delivery with some assistance.

  • Facilitates study project initiation by working with therapeutic business unit and operations contacts and other members of the Proposals Department to ensure accurate and up-to-date corporate information is used.

  • May maintain assigned sections of the corporate information library, conduct annual/ongoing reviews, and solicit reviews and feedback from the appropriate SMEs.

  • Notifies appropriate personnel regarding updates made to templates, text, and other relevant documents posted in the shared drives.

  • Serves as a resource for Proposals Managers regarding items contained in the databases and shared drives.

QUALIFICATION REQUIREMENTS

  • BA/BS degree in a business or medical/scientific or related field, or equivalent combination of education and experience

  • Basic proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), email, and voicemail.

  • A good understanding and application of principles, concepts, practices, and standards in the CRO industry and the clinical research process is preferred.

  • Good analytical, negotiation and organizational skills with ability to perform several tasks simultaneously and the ability to work independently to meet deadlines, as well as, flexibility to respond appropriately in uncommon process related scenarios.

  • Above-average attention to detail, effective oral/written communication skills along with highly-developed interpersonal and strong team orientated skills.

  • Although travel is rarely required, national or international travel may be required 2-3 times per year.

REQUIRED COMPETENCIES

  • Writes adequate strategy/alignment meeting minutes.

  • Takes ownership of the overall process, communicates deadlines and effectively enforces them, escalating early in case of difficulties.

  • Carefully manages SharePoint platform to guide contributors so that they can provide their input efficiently (unless there are issues outside of the RFI Associate's control).

  • Deadlines met except when clearly communicated well in advance and outside the control of the RFI Associate.

  • Ensures all key events are met as scheduled (Strategy Call, minutes circulated, Exec Review etc.).

  • Effective time management and rarely gets surprised with unexpected difficulties at the last minute.

  • Meets time that QC has been scheduled (allowing for rescheduling no less than 24hrs in advance) within 1hr of the scheduled time.

  • Sends link to final documents to team and BD Ops admin within 24hrs of client delivery

  • Familiarity with Word, applying styles, inserting/deleting pages, sections, figures and tables and using features such as "track changes".

  • Assembles text and RFI responses according to the structure laid out by the account director and/or client with minimal errors found on QC.

  • Makes full use of the style guide, able to insert figures without trouble.

  • Edits text provided by contributors to ensure flow, consistent language style etc.

  • Ability to manage 3 deliverables in varying stages at any given time with support of manager.

  • Supports the goals and objective of BD/BUs and company.

  • Gives client satisfaction a high priority by listening to and understanding both internal and external clients.

  • Demonstrates ownership of client inquiries, problems/complaints.

  • Can identify contributions made to support others within the team and the support of team deliverables.

  • Good written and verbal communication skills.
