Sr. Business Operations Analyst
Job Description
We are hiring a Sr. Business Operations Analyst to serve as the financial and operational backbone of the Marketing organization. In this role, you will own the end-to-end budget management process for the Marketing organization — from monthly forecasting and actuals reporting to ensuring fiscal discipline across a complex, multi-vendor spend environment. You will also play a critical role in how we bring our vendors to market, acting as the primary coordinator between the marketing and procurement teams — managing the contracting lifecycle, vendor onboarding, and ongoing PO and payment execution. You will also be a key contributor to our Marketing operating framework, ensuring our monthly business reviews are data-driven, well-prepared, and executive-ready. This is a high-visibility, high-impact role for someone who is as comfortable building a budget model as they are navigating a multi-stakeholder procurement process.
Responsibilities
- Serve as the primary owner of the Marketing team budget management process, maintaining accurate and up-to-date forecasting and actuals tracking across all spend categories.
- Build and maintain monthly reporting on budget forecast versus actuals, identifying variances and providing clear narrative explanations for leadership. Apply accrual accounting principles to ensure all expenses are recognized in the correct period.
- Conduct ongoing audits of marketing budget line items to identify missing, duplicate, or misallocated spend — including recurring vs. non-recurring software licenses and vendor contracts.
- Partner with Finance and functional marketing leads to consolidate budget inputs and ensure accurate, complete budget submissions during annual planning.
- Serve as the marketing team's primary liaison to the procurement team for all vendor engagements (new and existing) — coordinating the intake process from sourcing through contract execution.
- Work closely with the procurement team to shepherd contracts and POs through the vendor contracting process, ensuring marketing stakeholders are informed, unblocked, and compliant at every stage.
- Maintain the marketing team's outstanding contracts tracker (MSAs, SOWs, NDAs, RFPs), providing clear status visibility across all active and pending vendor engagements.
- Submit and manage PRs, ensuring all required documentation (contract/SOW, business justification, cost center, commodity code) is accurate and complete.
- Oversee PO issuance, track invoices against POs, and ensure timely vendor payment — proactively flagging blockers and resolving payment issues in coordination with Procurement and Finance.
- Support vendor onboarding activities, ensuring vendors are properly registered and set up to receive payment without delays to critical campaign milestones.
- Prepare the financial reporting package for monthly business reviews — including budget vs. actuals, forecast updates, and key financial insights for marketing leadership.
- Collaborate with the BI & Measurement team to ensure budget data is integrated into the broader reporting framework alongside OKR and performance metrics.
- Build and maintain executive-ready financial dashboards and summary reports that translate complex budget data and operational metrics into clear, actionable insights for senior leadership.
- Develop and refine standard operating procedures for budget management, vendor intake, and financial reporting to improve consistency, speed, and accuracy across the team.
Qualifications
- 5-10 years in Business Operations, Financial Operations, Marketing Operations, or a related field with demonstrated ownership of budget management and financial reporting processes.
- Bachelor’s degree in Business, Operations, Finance, Accounting, Communications, or a related field. Possession of advanced degrees or relevant professional certifications is strongly preferred.
- Native or professional-level English proficiency is mandatory, as this role supports a global team and requires extensive documentation in English.
- Strong capability in budget management, resource forecasting, and operational reporting. Deep understanding of accrual accounting principles, budget forecasting, and variance analysis.
- Hands-on experience managing vendor contracts and purchase orders within a corporate procurement environment. Experience with procurement/ERP platforms, such as SAP Ariba or Coupa, is strongly preferred.
- Strong analytical and problem-solving skills. Demonstrated proficiency with Excel/Google Sheets, Looker Studio or similar is strongly preferred. Experience using Jira or Smartsheet for operational task tracking is a plus.
- High degree of rigor in managing financial documentation, vendor contracts, and compliance workflows.
- Able to translate financial complexity into clear, concise narratives for both operational and executive audiences. Equally effective working with Finance, Procurement, and creative marketing teams. Adept at translating data and analysis results into actionable business insights that inform strategic planning.
- Thrives in a cross-functional environment and builds strong working relationships with internal stakeholders and external vendors.
- Comfortable building and refining processes from scratch and takes initiative to develop and integrate them into marketing team workflows.
