Summary
The TEMP Facilities General Affair Analyst supports corporate operations for the following: facilities and office administration, accounts payable and invoice processing, purchasing and vendor management, fixed asset management, month-end financial reporting, office operations and administrative support.
Responsibilities
Facilities & Office Operations
- Support daily office and operational needs.- Coordinate purchases of office supplies and operational materials.- Manage employee uniform ordering and distribution.- Vendor & Procurement- Build and maintain vendor relationships.- Obtain quotes and process purchase orders.- Resolve billing discrepancies.- Ensure vendors are paid on time.- Verify invoices against purchase orders and receiving documents.
Accounts Payable / Finance
- Process invoices through SAP and electronic document systems.- Reconcile corporate credit card statements.- Prepare month-end reports.- Record accruals.- Reconcile General Affairs accounts.- Maintain auditable financial records.
- Conduct facility walks- Assist with company events- Assist with asset management
Compensation
$25.00/Hour
Skills & Qualifications
Knowledge of general office practices and procedures, including filing systems, scheduling, and maintaining office supplies Required
Familiarity with common office software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Required
Knowledge of customer service protocols and best practices for effective communication with both internal and external clients Required
Strong ability to organize and maintain systems for documents, schedules, and office operations Required
Ability to review documents, forms, and correspondence for accuracy and consistency Required
Ability to collaborate and build effective working relationships with colleagues, management, and external parties Preferred
Education & Experience
Associate's Degree Required
Bachelor's Degree Preferred
1 - 2 Years of work experience in General Affairs, Business Management, or Administrative Experience Required
2 - 5 Years of work experience in General Affairs, Business Management, or Administrative Experience Preferred
Physical Requirements
Ability to sit in front of a desk and/or in front of the computer for long periods
Repetitive use of hand/grasping product, writing, and typing
Lift up to 25 lbs.
Carry up to 25 lbs.
Stand/walk
Ability to work in all climates, with potential exposure to change in temperature
