We're looking for a technically capable and customer-focused Productivity Analyst to join our Digital Services, Information Management team.
This role is responsible for helping Council get the most value from its Microsoft 365 environment, with a particular focus on SharePoint Online. You will provide expert advice and operational support to ensure information is well managed, easy to find, secure, compliant and fit for purpose throughout its lifecycle.
Working across the organisation, you will help staff effectively manage and use information while supporting Council's information governance obligations, modern workplace initiatives and digital transformation objectives. You will play an important role in improving information quality, content governance and information architecture, creating the foundations required for enterprise search, knowledge management and future automation and AI-enabled services.
What You'll Do
- Provide specialist advice and support on Microsoft 365, SharePoint Online and information management best practices.
- Help staff effectively manage, organise, store and retrieve information across Council's digital workplace platforms.
- Support the implementation and ongoing management of information governance controls, including information classification, metadata, retention and disposal requirements.
- Assist with the design, maintenance and improvement of SharePoint Online information architecture, metadata structures and content management standards.
- Monitor information management practices and identify risks, gaps and opportunities for improvement.

- Contribute to the adoption, optimisation and governance of Microsoft 365 and modern workplace technologies.
- Support initiatives that improve information quality, discoverability and accessibility across the organisation.
- Help prepare Council's information environment for automation, enterprise search, knowledge management and AI technologies by improving the quality, structure and governance of information assets.

What You'll Bring
- 2-3 years' experience in information management, records management, Microsoft 365 administration, SharePoint administration or a related field.
- Demonstrated experience working with Microsoft 365, particularly SharePoint Online, Teams and OneDrive.
- Strong understanding of SharePoint Online information architecture, metadata, document management and content governance principles.
- Experience managing information within a medium to large organisation.
- Understanding of information governance, records management and information lifecycle management practices.
- Knowledge of legislative and regulatory requirements relating to information management, privacy and recordkeeping.
- Strong analytical and problem-solving skills with the ability to identify issues and implement practical solutions.
- Excellent communication and stakeholder engagement skills.
- Strong attention to detail and commitment to maintaining high-quality information standards.
- Ability to work independently while collaborating effectively across multiple teams.
Desirable
- Experience with Microsoft Purview and information governance capabilities.
- Experience supporting SharePoint Online modernisation, content remediation or migration initiatives.
- Knowledge of the Public Records Act 2005, Privacy Act 2020 and Local Government Official Information and Meetings Act (LGOIMA).
- Experience working within local government or a large, complex organisation.
- Understanding of the information foundations required to support automation, enterprise search, knowledge management and AI technologies.
