Are you interested in helping shape the future of artificial intelligence? We are seeking an experienced Project Coordinator to support AI research, training, and data operations programs.

In this role, you will serve as an operational link between program leadership, research teams, and a growing network of domain experts. You will help coordinate workflows, communicate project requirements, track deliverables, support expert onboarding, and ensure projects remain organized and on schedule.

This opportunity is well suited to professionals with experience coordinating AI training-data, human-data, research, or other complex cross-functional programs.

Requirements

2. Key Responsibilities

  • Serve as a day-to-day point of contact for AI and data projects, ensuring workflows and operational activities run smoothly.
  • Coordinate communication between program leads, research teams, and domain experts.
  • Translate leadership requirements and project objectives into clear guidelines, instructions, and actionable updates for expert teams.
  • Support the onboarding, coordination, and ongoing engagement of new domain experts as projects scale.
  • Participate in weekly business reviews, maintain detailed meeting notes, track action items, and facilitate project calls when required.
  • Monitor project quality, identify operational issues, investigate root causes, and communicate findings to relevant stakeholders.
  • Assist research and product teams in developing, documenting, and refining project processes and operating guidelines.
  • Proactively identify risks, dependencies, and potential roadblocks and coordinate with stakeholders to resolve them.
  • Track project timelines, deliverables, and operational metrics using Google Sheets and Microsoft Excel.
  • Maintain accurate project documentation and ensure important updates are communicated across teams.
  • Adapt quickly to changing project priorities, workflows, and requirements.
  • Support continuous improvements to project operations, data processes, and team coordination.

3. Qualifications

  • Location: Must be based in the United States.
  • Education: STEM or another quantitatively oriented academic background strongly preferred.
  • Experience: 3+ years of experience in project coordination, project management, program operations, or a related role, with experience coordinating large or cross-functional teams.
  • AI/Data Experience: Hands-on experience working on AI training-data, human-data, data operations, AI evaluation, or research programs as a project coordinator, team lead, EPM, program specialist, or expert contributor.
  • Experience coordinating complex projects involving multiple stakeholders, distributed teams, or large groups of subject-matter experts.
  • Strong data-management skills, including proficiency with Excel/Google Sheets and familiarity with SQL.
  • Working knowledge of programming or software-development concepts is preferred.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and dependencies simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to lead meetings, coordinate teams, communicate expectations, and drive follow-through.
  • Prior people-management or team-leadership experience is a strong advantage.
  • Ability to work independently, identify problems proactively, and operate effectively in a fast-changing environment.

4. Preferred Experience

  • Previous project or program coordination experience within AI, machine learning, data labeling, model evaluation, or research operations.
  • Experience supporting AI or data programs at large technology organizations.
  • Experience managing expert contributor programs or coordinating large networks of specialized professionals.
  • Prior experience in an EPM, project lead, program coordinator, or operations role within AI or data-focused initiatives.

5. What You'll Bring

The ideal candidate is highly organized, proactive, and comfortable operating at the intersection of people, data, and technology. You should be able to turn ambiguous requirements into clear actions, keep stakeholders aligned, identify operational risks early, and ensure projects continue moving forward despite changing priorities.
