About the role

We file this job under Data Scientist, by the work the posting describes.

Data scientists use statistics and models to answer harder questions, such as whether a change worked, what demand will look like next quarter, or which customers are likely to leave.

Postings usually ask for Python or R, SQL, statistics, experiment design and common machine learning methods.

Unlike an ML engineer, a data scientist's main output is often an analysis or a first model, not software running inside a product.

Core responsibilities:

  • Designs, develops, and maintains business intelligence reports and dashboards.
  • Creates and configures metadata objects.
  • Develops a strong understanding of user reporting needs and makes recommendations on how reports can be developed using BI tools.
  • Works with ETL developers to determine report design strategies.
  • Works with application analysts to identify and understand source data systems.
  • Analyzes possible reporting alternatives in relationship to business needs, costs, effectiveness, and information availability requirements.
  • Works on security setup and maintenance, tool administration, and data modeling.
  • Develops or assists in the creation of project time estimates.

  • Provides post-implementation support of user questions and fine-tuning of processes.
  • Maintains communication with management and users during the development or maintenance cycle.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions:

Data collection and reporting:

  • Pulls graduate student data each term from the student information system, the admissions system, degree and milestone records, and the National Student Clearinghouse, and keeps one certified source the Graduate School reports from.
  • Checks every figure against the official count held by the Registrar and Institutional Research before it is published and explains any difference in writing.
  • Freezes each term so that a report run a year later reproduces the number that was published and logs any figure that is restated.
  • Collects career and employment outcomes for graduates, and records how each cohort was tracked and how many graduates were found.
  • Reports data problems to the office that owns the data rather than correcting them quietly.

Definitions and measures:

  • Writes and maintains the definition of every published measure, including entering cohort, new student, completion, attrition, time to degree, and placement.
  • Builds completion, attrition, and time to degree by entering cohort for doctoral and master’s programs.
  • Uses federal and association categories where they exist, including Integrated Postsecondary Education Data System, National Center for Science and Engineering Statistics, and Association of American Universities Data Exchange definitions, and notes where a University category differs.
  • Suppresses small cells, and reports counts rather than percentages when a program is too small to carry a rate.

Dashboards and published products:

  • Builds and maintains the graduate program outcomes dashboard, covering admissions, enrollment, progress, completion, time to degree, and careers after graduation.
  • Sets access so that each user sees their own level, program director, associate dean, dean, graduate dean, and provost, from one data source rather than separate files.
  • Builds the annual program review packet and the provost and Faculty Senate exhibits from that same source, so every document agrees.
  • Builds the public PhD program data pages in a form a prospective student can read.
  • Makes every product accessible, including figures that still read in grayscale print and tables a screen reader can follow.

Analysis and recommendations:

  • Writes a one- or two-page summary with each dashboard, stating what changed, by how much, and what to do about it.
  • Identifies programs outside the normal range on applications, yield, enrollment, completion, or time to degree, and prepares the briefing a dean needs for that conversation.
  • Gives each recommendation an owner and a review date, and reports back on what was done.
  • Reports the number of students behind every percentage and does not claim a cause the data cannot show.

Work with schools, programs, and students:

  • Meets each school and college on a set schedule to review program outcomes and record what is decided.
  • Trains associate deans, program directors, and program staff to use the dashboards on their own.
  • Prepares program outcome and career pathway material for graduate students and postdoctoral appointees.
  • Presents to the Graduate Council, the Faculty Senate, and program faculty, and answers methodology questions in the room.

Records and documentation:

  • Handles student records under the Family Educational Rights and Privacy Act, and keeps identifiers only where they are needed.
  • Keeps a written methods document with sources, definitions, suppression rules, and known limits, and publishes it with the reports.
  • Keeps all code in version control so that another analyst can reproduce any published figure.

This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities as necessary.

Core Qualifications:

  • Bachelor’s degree required, as in the core profile. Relevant fields include statistics, data science, information systems, higher education, educational measurement, economics, sociology, public policy, and any field in which the candidate carried out quantitative research. Master’s degree preferred in one of those fields or in institutional research.
  • Minimum 3 years of relevant experience required
  • Learning Agility: Ability to learn new procedures, technologies, and protocols, and adapt to changing priorities and work demands.
  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.
  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
  • Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.
