What each hiring system does with your resume

The hiring system an employer uses decides whether you make an account, whether your resume fills in the form, and which files it takes. Here is what we found for 26 systems, which between them run about nine in ten of the jobs on our board.

How we checked

For each system we opened live application forms at real employers and recorded what the form asked for, and we read the vendor’s own help pages where they are public. Every fact below links to where it came from. Where we couldn’t confirm something, it says so. Employers can change their own forms, so treat these as each system’s usual setup.

  • You create an account with each employer before you can upload anything. Every Workday employer has its own account, so one sign-up doesn’t carry over.
  • “Autofill with Resume” comes right after sign-in, before the My Information and My Experience steps. Check every field it fills in those steps, since that’s what recruiters see.
  • Your application status lives in that employer’s Candidate Home, under the same sign-in.

Greenhouse

  • No account needed: the form is one page, with an “Autofill my application” option that reads your resume.
  • Greenhouse doesn’t read resumes over 2.5 MB, or details placed in a header, footer, text box, table or second column. The file still attaches, but a recruiter has to type you in by hand.
